Program Support Assistant

Assist in the development of internal administrative standard operating procedures by researching prior publications, regulations on all administrative matters. Resolve administrative matters by researching office files and historical data, retrieving material for use in preparation of typed material. Manages the main telephone line, screens and refers phone calls, responds to non-technical, but substantive requests for information involving HSR&D, ERIC and DRC programs and functions. Prepares, receives, distributes and logs correspondence, both internal and external. Greets and refers visitors, maintains decorum and a high degree of quality communication between the various parties concerned. Handles complaints and request in a professional and calm manner. Conducts telephone interviews of research subjects, providers, and /or family members in the conduct of health service research. Performs transcription of qualitative interviews conducted between research staff and patients and providers enrolled in complex research projects. Facilitates patient scheduling in CPRS and VistA and connects patients with his/her medical care providers as required. Serves as primary and/or backup timekeeper for all HRS&D and ERIC staff. Uses electronic timekeeping system to post schedules tours of duty, leave, overtime, compensatory time, tour of duty changes, and authorized absences. Provides assistance to employees, supervisors and managers to resolve discrepancies and avoid prior pay period corrections. Functions as travel assistant for research personnel. Responsible for communicating policy and procedures to staff. Researches and schedules airline travel and hotel accommodations. Conducts literature, file and database searches related to the focus of a research project. Prepares reports and schedules related to meetings, interviews, travel, and statistics related to staff schedules, leave use, etc. Schedules appointments and maintains calendars for Service Chief, Associate Chief and Administrative Officer (AO). Drafts correspondence using MS Word or comparable word processing software to store and retrieve electronic documents and files, active printers, insert and delete text, format letters, reports and memoranda; and transmit and receive email. Maintains and orders supplies and assists in maintaining a computerized inventory of HSR&D's equipment and supplies. Performs general office duties such as typing, office automation, data transcription, data entry, as needed to ensure proper functioning of the service. The work is primarily sedentary. The incumbent may sit comfortably and uses a computer and standard office equipment to complete tasks. Physical activity involves walking, standing, bending or carrying of lightweight items. Work Environment:
Work is usually performed in an office setting with some walking outside between buildings. The incumbent observes normal safety precautions for an office work place. The work environment involves everyday risks or discomforts that require normal safety precautions typical of such places as offices, meeting and training rooms, libraries, and clinical settings. The work area is adequately lighted, heated, and ventilated. Risk is minimal. To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level:
One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. FAILURE TO DO SO WILL DISQUALIFY YOU FROM FURTHER CONSIDERATION. There is no educational substitution for the GS-06 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
