Residency Program 25% The incumbent serves as liaison between residents and hospital administration and maintains contact with Duke University in order to coordinate and monitor all aspects of the appointment process of the Resident/Fellow Program. Ensures that the required appropriate materials have been submitted and are available for review prior to the appointment or re-appointment of residents; handles all correspondence from candidates; prepares and submits necessary paperwork for residents/fellows; gathers and reviews for accuracy all pertinent documentation of the Resident Credentials Verification Letter prior to review by the Anesthesiology Program Director; submits and keeps records of all verifications of training, record reviews and coordinates preparation of program certificates for each resident/fellow through the Talent Management System (TMS); serves as administrator to monitor, coordinate and verify resident/fellow training requirements needed to complete residency packets; reviews the residents'/fellow's rotation schedule to determine whether they will work in the OR, SICU , or Pain Clinic, then inputs necessary information in the Resident Start Tracking Sheet; ensures that residents and fellows are given the appropriate access to the network; and completes Scrubx request and gives folder access. Credentialing and Privileging Program 25% Incumbent is responsible for enrolling new applicants in VetPro and provide support and information to assist them in submitting an application in VetPro; reviews, and determines the adequacy of verifications and references; after the verification of the data entered by the provider, the incumbent assists the applicant in the reconciliation to any discrepancies. The incumbent resolves the discrepancy and notes it in a comments field for that data element. Responsible for obtaining VetPro required information utilizing alternative methods when cyber-verification is not available. Scans and uploads returned references and verifications into VetPro. Verifies, through the appropriate primary sources, the individual's professional education, training, licensure, certification, registration, and previous professional work experience including documentation of any gaps in training and employment, professional references, adverse actions, and claims information, as appropriate; screens through the appropriate State Licensing Boards (SLB) certification or registration organization and other screenings required by Department of Veterans Affairs (VA) policy. Information Technology (ADPAC) 25% Serves as the point of contact for the implementation of new software or devices within the Anesthesiology Service. Solves problems by integrating an overall knowledge of the Service's system with Veterans Information Systems and Technology Architecture (VISTA) applications and by being innovative in the process. Troubleshoots error messages and malfunctions in software packages supported or used by the applicable staff members. Advises staff members in all aspects of the software packages used by the entire Service, which include the Anesthesia Manager, (PICIS), and the Microsoft Office Suite. Provides continual assistance to staff members in the use of VISTA and all computer applications. Assists Anesthesiology Service staff members with Personal Identity Verification (PIV) Cards issues and the forms and procedures required for Without Compensation (WOC) staff. Performs quarterly verifications of menus, security keys, and mail groups. Program Resource Services and Support 25% The incumbent receives and processes incoming and outgoing correspondence, reports, and computer information for Anesthesiology Service. Establishes protocols for incoming data, retrieves computerized data, and organizes data from publications and other sources; reviews all materials in relation to need for follow-up actions and general information; establishes priorities on verbal and written communication requests from various services within the Durham VA Medical Center, Colorado Personnel Resources (CPR) and United Anesthesia CRNA contract companies, and private health care facilities when needed; independently composes and prepares correspondence and reports and attends Medical Education Administrative Staff Meetings for Program Coordinators/ Administrators. Serves as the primary timekeeper for the assigned T&Ls, maintaining accurate timecards and backup materials in compliance with VA regulations, policies, and procedures. Maintains custody and inventory of all Service keys. Performs other duties as assigned. Promotion Potential:
