Program Support Assistant

Serves as New Employee Orientation (NEO) staff and works closely with Human Resources on NEO documentation development. Assist with the scheduling clinical and administrative teaching staff, attendance documentation, Q&A, and coordination with the TMS Coordinator. Serves as the alternate timekeeper and key official and sponsors PIV Enrollment for EDU/LRS. Responsible for coordinating and managing system access through the Personnel Identity Verification (PIV) card enrollment for new and existing EDU/LRS staff. Provides full administrative and technical support to the ACOS/E, the Chief, LRS, and the DLO. Severs as the LEAF Collaborator which creates and produces workflow and forms in LEAF to accommodate applications of tuition and travel request policies. Provides support of the health care system education VA Light Electronic Action Framework (LEAF) tuition and travel request tracking system, fund control points, purchase cards, time and attendance, reservations in the health care system Room Reservation System Management and MyHealthe Vet (MVH) registration. Oversees and processes tuition and travel request and reimbursements for tuition for the DVAHCS utilizing LEAF. Develops Standard Operating Procedures (SOP) for the LEAF tuition and travel applications process. Monitors employees' completion of courses and ensures that required documentation is filed and maintained. Produces tuition and travel requests for staff under the supervision of the ACOS/E. Complies and submits fiscally sound documentation of tuition reimbursements into the Invoice Payments Processing System (IPPS). Responsible for the use and security of purchase cards for tuition FCP(s). Primary or back-up control point clerk for EDU/LRS including fund control points (FCP), library, VACCA, dental, medical, travel, tuition and educational administration expenses. Develops and maintains automated records to monitor multiple FCP(s). Complies statistical data from work orders and financial accounts and generates recurring and non-recurring reports required by medical center management and other regulatory entities connected to EDU/LRS. Serves as reporting alternate for Equipment Inventory List (EIL) and Hazardous Material. Maintains the ACOS/E's calendar and arranges and coordinates meetings. Back-up Talent Management System (TMS) administrator to troubleshoot access issues as needed. Coordinates conference room reservations and adds/subtracts authorized staff, confirms reservations for the main hospital, Greenville HCC, and the COBOC conference rooms. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Performing a wide range of administrative, technical support, tracking tuition and travel request, fund control points, purchase cards, time and attendance, back-up Talent Management System (TMS) administrator, manages and sponsor PIV Enrollment, database management, word processing, administrative forms; and organizing logistics for meetings; assisting with preparation of budgets for their assigned area; Preparing agendas, Maintaining calendars, scheduling appointments and meeting makers, conference rooms, etc. Applying Comprehensive knowledge of rules, regulations and other guidelines to assist in developing correspondence and reports. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
