Partial Remote Work The Community Development Coordinator is responsible for providing clerical and office support activities for the Community Development Department.
The successful candidate will perform paraprofessional management analysis work, complex and advanced administrative support for the Department Director.
Decision-making involves the coordination of transactions and processes at the highest level of standard operating tasks, including providing direction to lower- level staff in the execution of operational tasks and review and verification of work.
Responsible for basic analysis; logistical support for politically sensitive and high visibility programs; basic research, compiling data and formulating preliminary recommendations; creating reports; coordinating workflow; and developing, proposing and implementing operational policies and procedures.
Work involves outreach and collaboration with all levels of the organization as well as outside agencies, citizens and elected officials.
This position will supervise two Senior Administrative Technicians and will report to the Assistant Community Development Director of Fiscal Management and Planning Administration.
Duties/Responsibilities Provides administrative support by providing office management, drafting, proofing, and monitoring documents and reports; responding to requests for information; developing data gathering tools such as inspection checklists and inventories; developing and implementing new administrative processes to support team activities; assisting with development of data tracking opportunities and reporting; overseeing administrative tasks; and assists staff with the analysis of data.
Provides logistical support for both virtual and in person meetings involving City staff and external partners.
Provides logistical support for politically sensitive and high-visibility programs and events, including programs and events involving the City Council, City staff, external partners and stakeholders; serves as escalation point for resolving customer services issues/inquiries; ensures follow up communication and quality assurance.
Maintains electronic and web-based resources; develops written and oral correspondence; and compiles and submits departmental reports.
Serves as a department representative in establishing and maintaining critical and sensitive communication with public and private agencies and other officials; and transmits and interprets decisions and views.
Commits Department Director's time by scheduling and arranging appointments based on intimate knowledge of priorities and objectives; informs Director of pending appointments and meetings.
Prepares and produces documents, reports and/or presentations from verbal information and/or written drafts; assists with the preparation of manuals, polices, procedures, confidential correspondence and public information materials including information for city council agenda items; provides general administrative support to staff and/or projects.
Coordinates staff meetings, meeting requests, events calendaring, special event scheduling and/or logistical support for events or facility rentals/scheduling; provides calendaring coordination and support for executive staff, as assigned.
Performs a variety of independent research, correspondence, and report preparation; compiles data for agendas, administrative, financial, and reports.
Performs administrative duties for a committee/board to include recording and transcribing minutes of board/committee meetings or other meetings as required.
Supervises Administrative Support Personnel, including coordinating, assigning, and monitoring work assignments, conducting performance evaluations, coordinating training, and implementing hiring, discipline and termination procedures.
Performs other related duties as assigned or requested.
Minimum Qualifications & Experience Associate's degree in business, public administration or directly related field OR equivalent experience.
Three years of advanced administrative support experience.
Additional Preferred Skills Two years supervisory experience.
Bachelor's degree in business, public administration or directly related field.
Five or more years of advanced administrative support experience working within a local, state, and/or federal agency.
Excellent customer service skills.
Strong oral and written communication skills.
Strong organizational/project management skills.
Strong computer skills, including proficiency in the Microsoft Office 365 environment.
Strong and advanced knowledge of MS Office Suite.
Results driven; able to multi-task to manage multiple projects to meet deadlines.
Must be able to write clear, concise plans and reports and make excellent public presentations.
Must be able to handle multiple tasks, strict deadlines, and successfully meet department goals.
Must be able to work successfully under pressure.
Demonstrated ability to work in diverse communities with a variety of community stakeholders.
Must be a Self-starter, enthusiastic, proactive, and team oriented.
North Carolina Public Notary registration.
Valid NC Class C Driver's license.
