4 Quick Apply Full-time 10 hours ago Full Job Description The Receptionist/Office Assistant functions as both the Director of First Impressions to our clients & acts in a main support role to the office/management staff.
This role will greet visitors and direct them to the correct destinations.
Act as the back-up for phones during breaks or high peaks with weather events and take accurate messages using proper phone etiquette.
Solve a variety of simple problems for guests and hosts.
Receive and deliver mail, packages, and other items to the right location, order break room supplies, and place maintenance repair calls for facilites and equipment for the Durham office.
Essential Functions:
Greet customers, clients & subcontractors in a professional & friendly manner.
Maintain & replenish office supplies & refreshment inventory Act as backup to answer calls during breaks for the company receptionist with a warm & empathetic attitude.
Obtain pertinent information from customers' incoming calls & direct calls to the appropriate party.
Acts as a gatekeeper to both unscheduled business-to-business salesmen as well as screens incoming calls to determine if they are unsolicited sales calls Scan & upload documentation & contracts to the appropriate jobs & subfolders Send documents and contracts through an electronic system Scan and save an electronic copy of all job folder files to the appropriate One Drive folder.
Document receipt of all customer check payments received End-of-the-month billing tracking & reporting Order and ship uniform items to all offices Work with our vendor to add logo to uniform shirts, jackets, etc.
provided by our sales and operations staff and notify of completion.
Process credit card transactions by phone and email receipt Provide a weekly update of the IntelliSite system of on-call Track & maintain uniform inventory & notify management when replenishment is needed.
Special Projects as needed and other duties as assigned Send out Daily Reports at end of the day Other duties as assigned Competencies:
